Getting Started with Outlook Email

Getting Started Checklist

Open Outlook on your desktop and enter your email address (first.last@washburn.edu) and WUAD password (the one you usually log into your computer with). The Outlook Web App online is at http://outlook.washburn.edu.

If you are using a different email program, when setting it up with the new system you can usually utilize the autodiscovery feature.

If autodiscovery doesn't work, use the following settings in your email program:

IMAP setting
Server name: outlook.office365.com
Port: 993
Encryption method: SSL
SMTP setting
Server name: smtp.office365.com
Port: 587
Encryption method: SSL

Please Note:

It may take up to 24 hours after migration begins to complete the final sync of all mail. Some recent mail will be noticeably missing during migration – we perform a sync to transfer the bulk of your e-mail at an earlier time; we then run another incremental sync after migration to capture mail received between the two events. There may be a significant delay if we are processing a number of users.

Rules created in the online web app will run in your desktop program. Rules created in the Outlook desktop application will only work while the program is running and do not transfer to the online web app.

At this stage, Lync, Calendar, Skydrive, and Sharepoint are available along with Outlook on Office 365, however, our priority is on email and we may not be able to effectively support the other services right away.  We may also need to make changes to them as we proceed.  We don’t want to discourage experimenting with them, but be aware that you use them at your own risk.

Recommended Programs for Devices

Office 365 programs are recommended for all Windows devices on campus. It is free for faculty, staff, and students. If you need a specific program installed on your Washburn owned device, please contact support at 785-670-3000 or send an email to support@washburn.edu

For personal devices, Office 2016 programs are available for free download. 

Outlook for Mac is used on campus devices. Plese contact support@washburn.edu or call the Help Desk at 785-670-3000 if you have any questions.


For personal devices, Mac Mail or Outlook 2011 (or newer) is the recommended e-mail and calendar program off campus. Mac Mail will automatically connect Office 365, just like Outlook on Windows, after you've entered your login credentials. No manual settings are needed. Following the steps below are highly suggested for personal devices:

  • Disable Junk filtering in Preferences
  • Under advanced settings, make sure "Keep copies of messages for offline viewing" is set to "All messages, but omit attachments".  This very important for Network Homes.

Use the device's default mail app or a 3rd-party mail app. Connect with Exchange ActiveSync or Corporate Account.

Lync 2013 for Android

Some devices may drop video calls on connection, confirmed for HTC Evo 4G LTE only at this time

Connect to your email using Mail, Contacts, Calendars as an Exchange account. You may also use a 3rd party app. Enter full Washburn email address and WUAD password. The system will connect and confirm items to be set up (i.e. email, calendar, contacts, etc.).

Setup the account as an Outlook account, input email address, and password.  It will automatically setup and offer to install Lync if not already installed.  All items are automatically configured (Email, Contacts, Calendar, SkyDrive Pro, Lync)

Monitored Email Accounts

A monitored email account is an email account accessed by more than one individual for the purpose of collecting and processing data on a scheduled basis. Contact support@washburn.edu for more information or call the Help Desk at 785-670-3000.

A monitored email account is for faculty and staff use only.

Email Aliases

  • An email alias is a way to communicate with a group of people via one email address. It is a shared email address that does address a specific person (e.g. admissions@washburn.edu).
  • Email aliases are available upon request for University departments and/or organizations.
  • An email alias has an owner (or owners) responsible for updating the members of the e-mail alias.  One of the owner(s) of the alias must be a faculty or staff member.

If your Account is Blocked

Microsoft's Office 365 includes Forefront Online Protection for Exchange (FOPE). FOPE blocks accounts that appear to be sending malicious messages or apparent spam.

If your account gets blocked by FOPE, you must follow the steps outlined below.

There are two ways you may find out your account has been blocked. ITS  may contact you.  Or, when you try to send a message, you receive this error message:

Delivery has failed to these recipients or groups: recipient@domain.com Your message con't be delivered because you weren't recognized as a valid sender. Make sure your sending address is set up correctly and try to send th emessage again. If the problem continues, please contact your helpdexk.   1. Contact ITS Support at 670-3000.  
  2. Change your Active Directory (WUAD) password immediately. Go to password.washburn.edu.
  3. ITS may need to run diagnostics on your computer(s) to determine the cause of your account's bad behavior or gather other information about how your Office 365 account may have been compromised.
  4. After the password has been changed and computers/devices checked and fixed (if needed) then ITS will contact Microsoft and ask to have your account re-enabled.

Microsoft will evaluate your account's activity and re-enable the account, provided they find no outstanding issues. The timing for this part of the process is out of Washburn's control; it may take a few hours or a few days.
