Applications are being accepted for a Senior Administrative Assistant (Verification Specialist) position in Financial Aid. This position reports to the Financial Aid Assistant III and the Associate Director of Financial Aid. The position serves in a high-volume, high-intensity environment. Processes are complex, detailed and must be performed with accuracy, timeliness and precision. Training for the new employee involves personal and on-line instruction. The employee must be able to exercise tact and diplomacy to handle difficult situations involving students and parents. It is imperative that the employee protect the confidentiality of all student and application information. Work is periodically reviewed for progress and conformance with established policies and requirements.
Review student FAFSA forms, comparing completed forms to federal income tax returns and schedule; Social Security Benefits, Railroad Retirement Benefit and other pension fund forms to verify that information on FASFA forms is in agreement with tax forms and documentation. Identify appropriate information and submit necessary corrections to the US Department of Education (DOE) and review returning forms for accuracy.
Evaluate students' eligibility to receive federal student aid: determine whether or not appropriate tax forms have been filed and follow up with student(s) and/or parent(s) as appropriate and necessary; determine student status with Selective Service and the Department of Homeland Security/Bureau of Citizenship and Immigration Services as it applies to Financial Aid eligibility.
Calculate applicable charges for students who withdraw from the University, reconcile accounts from the University with DOE account records and communicate the information to other departments as appropriate to facilitate repayment of financial aid received.
Advise students and parents in person and by telephone regarding aid eligibility and application status. Identify and suggest options and sources to assist students in identifying and contacting various agencies to obtain the appropriate documentation to ensure FAFSA information is correct and appropriately documented. Work with students, parents and University personnel regarding sensitive and private issues to resolve discrepancies and lend assistance in applying for financial aid.
Review student records to verify eligibility for Federal, state and institutional funds. Identify and resolve discrepancies and ensure disbursement of student aid to the appropriate office.
Cancel all financial aid including scholarships, loans, work study and grant awards for students who notify the Financial Aid Office that they will not attend a specific term.
Cross train with the Administrative Specialist/Grants Administrator position to provide back-up assistance as workloads and deadlines warrant.
Handle over-flow of phone calls and walk-in traffic at the front counter.
Perform other duties as assigned.
REQUIRED:High school diploma or GED. 2 years of experience providing administrative support, or completion of a course of study at the post-secondary level in Office Management/Support and 1 year of experience providing administrative support, or bachelor’s degree and work experience in an office environment. Skilled keyboarding ability. Experience in a financial/banking/financial aid environment or successful completion of post-secondary education or college coursework equivalent to an Associate's degree, and in dealing tactfully with customers in sensitive situations. Demonstrated English, spelling, grammar, arithmetic and computer, and verbal and written communication skills, and attention to detail. Ability to interpret and apply rules, regulations, policies and procedures, to establish and maintain effective working relationships, and maintain confidentiality.
PREFERRED: Bachelor's degree. Work experience in Financial Aid and/or banking and/or social services. Experience using Excel, Access, Word and/or Sungard/Banner.
