Applications are being accepted for a Senior Administrative Assistant position in Admissions. This position reports to the Director of Admissions. The incumbent of this position must develop and employ a full understanding of Banner processes, sequences and data standards to appropriately establish and update records for use by various staff and departments throughout the University. It is important that the employee maintain confidentiality standards under FERPA guidelines.
Welcome visitors and prospective students who arrive at the Office of Admissions, and answer the main phone line maintaining a professional demeanor at all times. Using critical thinking skills, discern visitor needs and direct them as appropriate to ensure they receive the assistance they need with minimal disruption and difficulty. Respond to inquiries received via email, telephone, personal visits from staff, students, faculty and others about admission policies and procedures, admission application status, etc., directing inquiries to appropriate staff or department as needed to facilitate communication and reliable customer service for all contacts.
Schedule campus visits for prospective students, scheduling tours, setting up appointments with faculty, coaches, and other faculty and staff, arranging for class visits and other activities as relevant and appropriate to individual student interests and needs.
Accept and receipt payments for application fees, recording transactions and maintaining a cash fund according to University procedures and requirements.
Create, update and maintain student records in Banner, entering a wide range of information that may include biographical and/or academic data, individual course information, start terms, student types, etc., and applying knowledge of appropriate codes and data standards and an understanding of University processes and state and federal requirements.
Work with other Admissions support staff to hire, schedule, supervise and assign work to student employees who assist in providing customer service. Monitor student performance to identify training needs and ensure the highest levels of customer service are maintained. Coach and train students as needed to improve performance.
Open mail and distribute mail to facilitate timely decision-making, communication and processing of applications, fees, transcripts and other admissions-related activities.
Examine application documentation and student academic records to verify that coding and information is consistent and to assess whether to admit or deny admission to each applicant. Refer problematic applications to Admissions administrators for further consideration. Update/modify Banner records as needed to ensure student records are accurate for subsequent processing by other Enrollment Management departments.
Sort, label and prepare all documents for scanning into Banner. Scan and index documents to allow access to student records during processing and research by authorized staff.
Perform other duties as assigned which may include providing back-up for other administrative support staff in the Department and other clerical support.
REQUIRED: High school diploma or GED. 2 years of experience providing administrative support, or completion of a course of study at the post-secondary level in Office Management/Support and 1 year of experience providing administrative support, or bachelor’s degree and work experience in an office environment. Skilled keyboarding/data entry ability. Ability to communicate effectively both verbally and in writing, and make complex decisions in accordance with established policies and procedures. Demonstrated attention to detail and accuracy.
PREFERRED: Bachelor’s or Associate’s degree. Experience using Banner, MS Office and WebExtender. Experience in a higher education environment. Ability to speak and understand Spanish.
