
Applications are being accepted for a Clerk III position in Admissions. This position reports to the Director of Admissions.
Customer Service Agent
Greet and assist individuals and prospective students who contact the Admissions Office to ensure all individuals receive adequate and appropriate assistance:
- Respond to routine inquiries received via telephone, email, and in person regarding the University’s admission process.
- To the extent possible, provide individualized advice and assistance to potential students based on their educational interests and individual circumstance, or refer them to appropriate faculty/staff/departments as appropriate for in-depth assistance.
- Deal with unpleasant/dissatisfied customers, referring unresolved complaints to the appropriate level/department for resolution when complaints continue to escalate.
Collaborate with Admissions leadership and Information Technology Services (ITS) to identify data needs and means of collection, and compile data and information for use in analyzing and reporting customer service activity in the Admissions Office. Compile data, produce and distribute customer service activity reports to facilitate review and assessment of Admissions customer service. Identify and recommend changes in procedures that will contribute to increased efficiencies and improved customer service in the Admissions Office.
Administrative Support
Collect, copy and assemble materials for distribution to prospective students who visit the Admissions Office, at recruitment presentations made by Admissions Counselors, or for distribution at meetings and events. Provide other administrative support assistance as requested to assist Admissions Counselors with recruitment preparations.
Provide administrative support to the Director of Admissions and Admissions leadership to ensure smooth operation of the Admissions Office:
- Make travel arrangements.
- Maintain and update calendars for use in planning and communicating Admissions activities and events.
- Collect, sort, open and distribute mail for office.
- Monitor and replenish office supplies as needed.
- Identify and reserve meetings spaces for Admissions use.
Copy, scan, and index documents to expand student records in Banner and make information available to other Enrollment Management staff and faculty. Enter data into Banner, spreadsheets and/or databases to establish, update and maintain student records for reference by Admissions staff as well as for data collection and reporting purposes.
Accounting and Budget Management
Complete and submit appropriate forms attaching supporting documentation as needed to initiate purchases, payments, deposits, fund transfers, etc., for the Admissions Office in accordance with University policies and procedures. Track and monitor budget allocations and expenditures to assist the Director of Admissions with budget management.
Student Staff
Interview and select students for employment in the Admissions Office. Collect and submit required student employment forms to the Financial Aid Office to support completion of appointment processes. Supervise student employees, providing work assignments, training and direction, and monitoring completion of work to ensure timely and accurate completion of assigned duties and that a high level of customer service is maintained. Review and approve student timesheets, working with students to print and complete paper timesheets as needed to ensure timely payment for time worked.
Cross train with the Events and Campus Visit Coordinator to provide backup and assistance when that employee is unavailable.
Perform other duties as assigned.
REQUIRED: High school diploma or GED. 3 years of clerical/secretarial experience or completion of a course of study at the post-secondary level in office support/management and 2 years of related work experience. Proficiency in Microsoft Word and Excel. Aptitude for learning new software programs. Customer service/reception experience.
PREFERRED: Associate's Degree. Admissions and/or recruiting experience. Experience using Banner, MS Office and WebExtender.
